• What is a small business (kergettevõtlus)?
Invosy is an online invoicing platform that allows you to issue invoices without owning a company. Everything you need for invoicing – creating invoices, managing taxes, accounting, and tracking debts – is consolidated in one place. Invosy takes care of all the paperwork, allowing you to focus on what truly matters to you. This makes Invosy an ideal solution for small business owners.
Light entrepreneurship is a flexible and modern form of work where you offer your skills and knowledge on a project basis without a permanent employment relationship. A light entrepreneur decides for themselves when, where, and under what conditions they work, and sets the prices for their services. In this way, it resembles traditional entrepreneurship but without the complex obligations and bureaucracy that come with starting a company.
• How much does using the service cost?
Registration is completely free. You only pay a service fee of 1.9% of the invoice total (+ VAT) when withdrawing the payment.
• Can I start using the service without any obligations?
Yes! You only need to agree to the terms of service. There are no notice periods or monthly maintenance fees.
• Can I work in multiple fields at the same time?
Absolutely! You can operate in as many fields as you want.
• Can I issue invoices through Invosy if I am a sole proprietor or if I have my own company registration code?
Unfortunately, no. Invosy is intended for individuals who issue invoices without their own company or registration code. It helps avoid the confusion associated with tax reporting.
• No. Invosy is designed for individual users only. Each person who wants to issue invoices must have their own Invosy account. Employees cannot use your account to invoice for their work.
Yes, but only if they work independently, not under an employment contract. This means they must be treated as independent service providers.
• How does invoicing work?
Creating invoices is easy! Add your clients in the “Clients” tab or fill in your client’s information for each invoice individually. You can also include details about the work performed and any other information required by the system.
• How quickly is the invoice sent?
The invoice is sent immediately when you click “Send.” There may be delays with e-invoices. After sending the invoice, you will always receive a confirmation via email.
• When can I issue invoices without VAT?
Usually, VAT must always be added to the invoice because invoicing is done through our company registration code. VAT exemption applies only to companies and entrepreneurs whose annual revenue is below €15,000.
• What should I do if my client is in the construction industry and the invoice should be subject to reverse VAT?
When creating the invoice, select the option “I provide construction services (VAT 0%)” and also mark “VAT rate 0%.” The invoice will automatically include the text: “According to § 41 (1¹) of the VAT Act, reverse taxation is applied to construction services if the recipient of the service is a person who is VAT-liable.”
• My invoice is incorrect. How can I create a credit invoice?
A credit invoice cancels the original invoice for both you and your client. To create one, go to the original invoice and click the circular arrow icon. Note that the credit invoice amount must be the same as the original invoice, as partial refunds do not work in our system.
• How and at what stage can I add an expense reimbursement to my invoice?
Reimbursements can only be added to the invoice if your client has agreed to cover them. If not, they should be declared as part of your personal taxable income.
Expense and reimbursement requests are created in the “Expenses and Reimbursements” tab, after which they are added to an invoice that must be saved as a draft in the “Invoices” tab. Note that only expenses and reimbursements added to the invoice through this tab can be paid out to you.
• Can I settle payments with my client using cash or a payment terminal?
Unfortunately, this is not possible. Invosy payments can only be made based on invoices.
• Can I use Invosy to invoice clients abroad?
Yes. In this case, VAT is 0% for companies, but always 22% for private individuals. The most important thing is to always include the VAT number of the respective company on the invoices instead of the Estonian registration code.
• What is QuickPay and how does it work?
QuickPay is a fast payment solution that allows you to receive your payment more quickly. To use QuickPay, the client must confirm the invoice via the email sent by us.
The QuickPay limit is a maximum of €4,000 per light entrepreneur.
QuickPay terms:
• How quickly can I receive my QuickPay payment?
The QuickPay confirmation request is sent to your client immediately after the invoice is issued. Our customer service processes QuickPay requests during business hours on a first-come, first-served basis. If QuickPay cannot be guaranteed, we will contact you.
• How do I know if my client has paid the invoice?
The invoice status changes to “Paid” once the payment is registered in the system, and the earnings can be withdrawn.
• When will my payment be issued?
Once the invoice status is “Paid,” you can withdraw your payment in the “Payments” tab. If QuickPay was used for the invoice, you will receive an email notification about the payable amount once the invoice is funded. After you initiate the withdrawal, the payment will be processed in the next payroll period, and the invoice status will change to “Processing for Bank.”
Attention! All transactions are usually reflected on invoices with a one-day delay. Delays may also occur due to weekends and public holidays.
• Why haven’t I received my payment yet?
• Why is my payment less than the invoice amount?
A light entrepreneur’s payment always consists of the VAT-exempt portion of the invoice. When withdrawing payment, our service fee (1.9%) plus activity-specific VAT is always deducted. QuickPay carries an additional fee of 3.5% + VAT.
• When will my VAT (taxable person) information be updated?
Once a change has been made with the Tax Authority, the new information can be updated in the system by the next day at the latest. The information updates automatically if the light entrepreneur has not submitted a change request before that.
• Can I operate as a light entrepreneur even if I am unemployed?
Yes. This may result in a request for you to provide clarification.
Light entrepreneurship is a simple and flexible way to issue invoices without major obligations or even to test an existing business idea.
